Travelling and Daily Allowance
The Employees Desk Travelling & Daily Allowance Calculator is designed to help Government employees and officials calculate admissible Travelling Allowance (TA), Daily Allowance (DA), mileage allowance, and other applicable travel-related claims for official journeys under the relevant Government rules and rates incorporated into the calculator.
This online Travelling Allowance Calculator simplifies the preparation of TA/DA claims by bringing important travel calculations together in one convenient tool. Users can enter their Basic Pay Scale (BPS), journey details, departure and arrival dates and times, place of duty, mode of transport, distance travelled, and other required information to calculate applicable allowances automatically.
The calculator considers Ordinary and Special Daily Allowance rates, duration of stay, admissible full or half Daily Allowance, and travelling or mileage entitlements according to the selected mode of transport. It supports calculations involving personal cars or taxis, motorcycles or scooters, public transport, air travel, and other admissible travel arrangements. The tool is useful for official tours, transfers, retirement-related journeys, and other eligible Government travel claims, subject to applicable rules.
Instead of manually consulting allowance tables, calculating journey periods, determining distances, and applying different rates separately, users can enter the required details and obtain a clear, structured TA/DA calculation within seconds. The Employees Desk calculator helps make travel claims faster to prepare, easier to calculate, simpler to verify, and more convenient for Government employees, Accounts Offices, Drawing and Disbursing Officers (DDOs), and other officials responsible for processing TA/DA claims.

Depending on the journey type and applicable entitlement, TA and DA calculations may involve the following components.
Travelling Allowance relates to eligible travel expenses incurred during an official journey. Admissibility depends on the employee’s entitlement, journey details, approved travel arrangements, and the relevant government rules.
Daily Allowance is intended to cover eligible expenses associated with official duty away from headquarters. The applicable amount can depend on the employee’s Basic Pay Scale (BPS), destination, and qualifying duration of absence.
Ordinary and special rates may apply in different circumstances. Not every journey qualifies for the same amount.
Mileage allowance is calculated according to applicable rules concerning distance and the eligible mode of transport. Different rates may apply to travel by personal car, motorcycle, bicycle, public transport, or other authorized means.
The Employees Desk tool provides automatic distance calculation, helping users avoid unnecessary manual distance entry. Users should still confirm that the selected route is appropriate for their official journey.
A transfer may involve additional admissible benefits beyond an ordinary official tour. These can include transfer-related grants and transportation of personal effects, subject to the relevant conditions and official authorization.
Eligibility and calculation methods should be checked against the rules applicable to the employee’s circumstances.
Retirement-related travel claims may involve separate conditions for the employee and eligible family members. The applicable provisions can differ from those governing an ordinary official tour or transfer during service.
The calculation process is designed to be straightforward:
Open the calculator on the Employees Desk website.
Select the relevant journey or allowance category available in the form.
Enter the employee’s required details, such as BPS and journey information.
Provide the departure and destination details requested by the calculator.
Select the applicable transport or allowance options.
Review the calculated distance and other entered information.
Calculate the allowance and check the displayed breakdown before using the figures for official paperwork.
The Employees Desk Travelling and Daily Allowance Calculator helps government employees calculate Travelling Allowance (TA), Daily Allowance (DA), accommodation expenses, Transfer Grant and retirement-related travelling entitlements according to applicable government rules.
The calculator is based on the following provisions of the Manual on Travelling Allowance Rules, 2013, published by the Pakistan Public Administration Research Centre (PPARC), Establishment Division, Government of Pakistan.
Travelling Allowance is calculated according to the journey distance, mode of transport and applicable mileage or fare rates. The rules cover journeys by road, rail, air and other authorized means of transport. Road mileage is subject to the prescribed route and admissibility conditions.
Daily Allowance is intended to meet ordinary expenses incurred during authorized absence from headquarters. Entitlement is determined with reference to the employee’s Basic Pay Scale (BPS), applicable Ordinary or Special DA rate, station, journey period and relevant rules for full or half Daily Allowance.
Accommodation expenses are calculated according to the applicable DA rate, station category, duration of stay and prescribed accommodation limits. Where hotel receipts are provided, reimbursement is subject to the relevant ceiling and supporting-document requirements.
Under the applicable transfer rules, an eligible government employee may receive:
Transfer Grant: One month’s pay with family or half a month’s pay without family.
Travelling Expenses: Admissible fare or road mileage for the employee and eligible family members.
Carriage of Personal Effects: Transportation allowance according to the prescribed weight entitlement, distance and applicable rate.
Daily Allowance During Journey: One Special Daily Allowance for every 480 kilometres of road distance.
Daily Allowance on Arrival: One full DA for the employee and each eligible family member above 12 years, and half DA for each eligible child above 12 months and up to 12 years, at the rate applicable to the new station.
These entitlements are subject to the conditions prescribed for transfer in the public interest and other applicable rules.
Eligible retiring government employees may claim admissible travelling expenses for the journey from their last station of posting to their hometown, transportation of personal effects and Transfer Grant at the rate applicable under the transfer rules.
The separate 480-kilometre Journey DA and Arrival DA provisions for transfers are not automatically applied to retirement cases.
Family eligibility is governed by the definition and conditions prescribed under the Supplementary Rules, including applicable requirements relating to dependency and residence. The definition applicable to transfer claims must be considered when determining family entitlements.

The 2013 Manual may have been amended by subsequent Finance Division notifications, Office Memoranda and other applicable instructions. Actual entitlements depend on the latest applicable rules, authorized rates, supporting documents and approval of the competent authority.
