The Employees Desk Leave Calculator is designed to help Federal and Punjab Government employees calculate earned leave, available leave balances, and applicable deductions according to the Federal Revised Leave Rules, 1980, and Punjab Revised Leave Rules, 1981.
The calculator allows users to enter employee details, date of appointment, opening leave balance, and previous leave records to automatically calculate earned leave and remaining balances. It supports Full Pay, Half Pay, Recreation, Extraordinary Leave (EOL), Maternity Leave, Paternity Leave, and other applicable leave categories. Users can add multiple leave entries, manage vacation records, and generate year-wise Leave Account Statements in Form A.T.C.8 format for printing or saving as PDF.
By eliminating manual calculations and complicated leave registers, the Employees Desk Leave Calculator makes leave management faster, easier, and more convenient for Government employees, Establishment Sections, Accounts Offices, and Drawing and Disbursing Officers (DDOs).

The Employees Desk Leave Calculator helps Federal and Punjab Government employees calculate earned leave, leave deductions, available leave balances, and year-wise Leave Account Statements according to applicable Government Leave Rules. It also helps maintain leave records and prepare Form A.T.C.8 for printing or saving as PDF.
The calculator is based on the Revised Leave Rules, 1980 (Federal Government, updated 2018 edition), and the Revised Leave Rules, 1981 (Government of the Punjab), along with relevant subsequent amendments and instructions incorporated into the calculator.
Government employees generally earn four days of leave on full pay for every qualifying calendar month of duty. A duty period of 15 days or less in a month is ignored, while more than 15 days is treated as a full month, subject to the rules governing incomplete months. There is no maximum limit on the accumulation of earned leave. Leave is ordinarily not earned during periods of leave.
Leave on full pay may ordinarily be granted for up to 120 days without a medical certificate or 180 days with a medical certificate, subject to the applicable conditions. Rule 5 also provides for an additional medical-certificate entitlement from the leave account, subject to a 365-day limit during the entire service. Leave on half pay is calculated by converting two days of half-pay leave into one day of full-pay leave deduction, with fractions rounded according to the rules.
Extraordinary Leave is leave without pay and is subject to prescribed service requirements and approval. Employees with at least ten years of continuous service may ordinarily be granted up to five years at a time, while employees with shorter service may receive up to two years at the discretion of the competent authority. EOL does not directly reduce the earned-leave balance but affects the period qualifying for earning leave.
Recreation Leave may be granted for 15 days, with a deduction of only 10 days from the earned-leave account. Under Federal rules, it may be granted once in a calendar year, whereas under Punjab rules, it may be granted once in a financial year. Recreation Leave is not admissible to employees of Vacation Departments under Rule 10.
Employees working in Vacation Departments are subject to special earned-leave calculations. Employees who avail full vacation earn one day of leave for each qualifying month of duty. Where vacation is partially availed, proportionate additional leave may be credited. Employees officially prevented from availing vacation may earn leave according to the applicable non-vacation department provisions. The calculator provides a separate Vacation Record facility for these calculations.
Leave Not Due may be granted against leave expected to be earned in the future, subject to a maximum of 365 days during the entire service and 90 days during the first five years. Its grant is discretionary and subject to the conditions prescribed by the sanctioning authority. Under the supplied Punjab Revised Leave Rules, 1981, Leave Not Due is not admissible to temporary civil servants.
Special Leave, Maternity Leave and Disability Leave are governed by their respective provisions and may be admissible outside the ordinary earned-leave account, subject to eligibility and sanction. For applicable Federal establishments, maternity and paternity entitlements are also governed by the Maternity and Paternity Leave Act, 2023. Punjab paternity entitlement must be verified under the relevant provincial notification or applicable departmental instructions.
Under Rule 30, the leave account of a Government employee is maintained as part of the official Service Book. The Employees Desk Leave Calculator assists users in recording sanctioned leave, calculating earned leave and deductions, monitoring available balances, and generating year-wise Leave Account Statements in Form A.T.C.8 format. Statements can be printed or saved as PDF for review and recordkeeping.
Disclaimer: This calculator is provided for information, estimation and leave-record preparation purposes only. Calculations are based on the Federal and Punjab Leave Rules and the applicable provisions incorporated into the calculator.
The rules may be amended through subsequent Government notifications, Office Memoranda and departmental instructions. Actual leave entitlement depends on verified service records, vacation utilization, sanctioned leave, the latest applicable rules and approval of the competent authority. The calculator’s statement does not replace the official Leave Account maintained in the employee’s Service Book.
